What information we collect

We only collect personal information when you actively provide it to us, plus a small amount of technical information automatically when you visit the site.

When you submit our contact form

The contact form on this site collects:

  • Your first and last name
  • Your email address
  • Your telephone number (optional)
  • Your postcode (optional)
  • Details of your enquiry — what you want to store, volume needed, and any free-text notes you choose to share

When you visit the site (automatically collected)

  • Your IP address (used for security and rate-limiting only)
  • The pages you visit and how long you spend on them
  • Your browser type and operating system
  • The website that referred you, if any

This information is stored in standard server access logs and is not linked to you personally unless you also submit a form.

Why we collect it (our lawful basis)

Under UK GDPR, we must have a lawful basis for processing your data. Ours are:

  • Legitimate interest — to respond to your enquiry, prepare quotes, and follow up where appropriate. You'd reasonably expect a business to do this when you contact them.
  • Consent — for the privacy policy tick box on our contact form. You can withdraw consent at any time by emailing us.
  • Contractual necessity — if you become a customer, we need your information to fulfil orders and provide ongoing support.
  • Legal obligation — for customers, we keep accounting records as required by HMRC.

Who we share it with

We do not sell your data. We do not share it for marketing. The only third parties who handle your data are service providers strictly involved in running the website and our business:

  • 34SP.com — our UK‑based hosting and email provider. They store the website files, the database, and route emails.
  • YouTube (Google LLC) — the videos on our Products page are hosted on YouTube. If you click to play a video, YouTube's privacy policy applies. We use the "no‑cookie" embed mode so YouTube only sets cookies once you actively click play.
  • Google Fonts — we load the Manrope typeface from Google's font CDN. Google may receive your IP address as part of that request.

We never share your data with advertisers, marketing companies, or data brokers.

How long we keep it

  • Enquiries that don't become customers: 2 years from your last contact, then deleted.
  • Customer records: 7 years (HMRC requires us to keep accounting records for at least 6 years from the end of the tax year).
  • Server access logs: 30 days, then automatically deleted.
  • Email correspondence: typically kept while there's a business relationship, then archived or deleted on request.

How we keep it secure

Your data is stored on servers based in the UK, operated by 34SP.com. The website is served over HTTPS (encrypted), and emails sent through our contact form are transmitted over authenticated TLS‑encrypted SMTP. Only people in our business who need access to your data — to respond to enquiries or fulfil orders — have it.

Your rights

Under UK GDPR you have the following rights:

  • Right of access — you can ask for a copy of the personal data we hold about you.
  • Right to rectification — you can ask us to correct anything that's wrong or out of date.
  • Right to erasure ("right to be forgotten") — you can ask us to delete your data, subject to any legal obligations to retain it.
  • Right to restrict processing — you can ask us to stop processing your data in certain situations.
  • Right to object — you can object to us processing your data based on legitimate interest.
  • Right to data portability — you can ask for your data in a portable format.
  • Right to withdraw consent — if our basis for processing is your consent, you can withdraw it at any time.
  • Right to complain — you can lodge a complaint with the Information Commissioner's Office (ICO).
